Collection Process
- Multiple files upload
- You can upload a folder or several files together and allocate each one to the relevant FileBox in a collection process.
Workspace
- Rename a FileBox – the FileBox's owner can rename it.
- Hover over the three dots on the right side of the FileBox > Click on "Rename."
- Validation rules
- Ask your customer success manager for further explanation on how to set up validation rules for your files.
- Hover over the three dots on the right side of the FileBox > Click on the "Validation Rules" button.
- Versions column – indicates the version's number, for ease of identification
- Archive versions
- Only a FileBox owner can archive a version
- The “latest” version or the “latest time dimension” version cannot be archived.
- Example: If a FileBox is set with quarterly submission tags, the last modified version of each quarter cannot be archived.
- Retrieving an archived version can only be done with the assistance of your customer success manager.
- Diff column - click on these icons to easily track changes using the compare & VBA tools.
- There are two icons, representing the changes of the Excel version and VBA code.
icon: represents the cells that were changed between the current version and the previous version uploaded to the FileBox. Clicking on this icon will open the compare tools with these consecutive file versions.
icon: represents the VBA changes of the file's versions. Clicking on this icon will open the VBA compare tool, showing the changes throughout all versions of the FileBox.
- To disable this feature from the version view, contact your customer success manager.

Dashboards
- Widget elements:
- Changes in the elements' naming convention
- Metadata elements added by DataRails will be marked blue and the indication "(Tag)" for FileBoxes that have submission tags instead of the former "VT."
- Excel elements (such as column headers and attributes) will be marked green.
- The elements' names are ordered alphabetically.
- Changes in the elements' naming convention
- K and M indications are now available on the Y axis, to emphasize that the values are in thousands (K) or in millions (M).
- In cases where filters consist of excluded values, an "excluded" indication will appear.
Admin Features:
- Permissions report:
- Generate a report detailing the permission levels that every user has in the different system entities - FileBoxes, folders, collection process and dashboards.
- Generate the report by clicking on the book icon in the "organization" tab of the admin panel.
- Note that the report export is a CSV file sent to the administrator's email.
- Disable / lock users from using DataRails:
- Lock a user by clicking on the lock icon in the "user" tab of the admin panel and change the button in the pop-up table from "no" to "yes."
- Once a user is locked, there will be a check mark next to the user's name under the "locked" column.
Tables Feature
- You can delete tables that were created by a configuration file or the data mapper of various FileBoxes. Click on the trash can icon on under the "Actions" column to delete.
- CAUTION! Deleting a table will also delete ANY widgets or OData connections that were created by using this table.
- "Is public" column
- To share and use a consolidated table created from the table tool, you should check the checkbox in the "Is public" column.
- "Requires Processing" column:
- You can disable the automatic scan of a FileBox's table (created by a configuration file /data mapper) when uploading a new version to that FileBox.
- This is useful in cases in which an Excel file had some format changes or contains tabs that are no longer relevant to scan; however, historical data that was retrieved from previous versions is still needed.
FileBox as a Template - Beta
- The main use is to track the changes of a file that originated as a template.
- A FileBox can function as a template, incorporating calculations or financial models.
- Template owners can share (via email) the version with other users. DataRails will track the usage of this template and will show which template versions each user is using.
